Borrowing and Renewing



Students, faculty, and staff of Rowan University Library Services may borrow materials up to 20 items upon presentation of a valid University I.D. card. For more information, please see our Circulation Policy.

Alumni and Retirees
Alumni and retirees are permitted to borrow books and other circulating library materials using a Rowan University alumni card. Database access is restricted to on-campus use. To obtain an alumni card, please contact the Alumni Office:

Journals/periodicals, microforms, and items from Special Collections do not circulate.

Most library materials can be renewed over the phone at 856-256-4802, in-person, or online. To renew online, enter your Rowan ID number and your last name under “My Account.” After logging in, find “renew” and select the titles you wish to renew. The new due date will appear in the right column of the page under “status.” If the items have not been renewed, contact the Circulation Desk at 856-256-4802. To renew over the phone, please have ready your name, ID number and phone number. If the item has reached its renewal limit, you must bring the item to the Circulation Desk. Provided there are no holds on the item, Library staff will check it in and charge it out to you again, resetting the renewal count.

Faculty Proxy Borrowing

Faculty may designate a staff member or student as a proxy borrower.  This person is able to borrow print materials owned by Campbell Library or pick up InterLibrary Loan materials delivered to the Library for the faculty member.  All materials are the responsibility of the authorizing faculty member. 

Faculty must have a library account in good standing in order to request or renew a proxy borrower. Any lost or overdue items must be resolved before a proxy designation can be created or renewed.

A faculty member may have up to two proxy borrowers at any one time.  Those designated as proxy borrowers must have a current Rowan ID card.

Faculty should complete the request form and bring it to the Circulation Desk in Campbell Library.  The proxy designation is active for one year and may be renewed.


Several types of equipment are available to Rowan University students, faculty and staff. The borrower is responsible for replacement costs and any applicable fees for lost, damaged, or stolen equipment during the check-out period. Equipment is loaned on a first come, first serve basis.

Advanced reservations are not available, but if an item is checked-out, individuals may place a request for when it becomes available. Requests must be made at the Circulation Desk on the first floor. A borrower may not check out more than one of the same equipment item type at a time. Some types of equipment are available for faculty/staff use only, and some equipment types are restricted to on-site (in the library) use only. Please see our list of loan periods below for restrictions.

Checking Out

At the time of checkout, you will be asked to sign a contract indicating that you have received all items included with the loaned equipment, and that you understand and agree to our policies.


Check your item’s due date online: Choose the “My Account” tab. You must return equipment to the Circulation Desk to verify that the borrowed item has been returned with all of its components, and is in good working condition. All items must be returned at least one hour before closing on their due dates. On nights that the Library is open past midnight, items must be returned before 11p.m.

*The Library is not responsible for any computer viruses that may be transferred to, or from, a user's disk or network. Laptops are equipped with an operating system, Microsoft Office and other software found on lab computers. Personal software may not be loaded onto laptops. Users must save work onto a removable device; personal data will be purged from the system.

Late fees

  • 4-hour loan: $2.00 per hour; after five hours of being late, the item is considered lost and replacement costs may apply
  • 3-day loan: $3.00 per day; after five days of being late the equipment is considered lost and replacement costs may apply

Lost, damaged, or stolen equipment

The costs of repair and replacement of our items are assessed by an IT technician. In addition to repair costs for damaged items, which may reach a total of $1,500, borrowers assume responsibility for a processing fee of $49.00.

Borrowers assume the cost of listed replacement charges for lost or stolen items. Replacement charges may be lifted on items considered lost or stolen if returned within 24-hours, but late fees will still apply.

Rowan University Libraries collaborates with libraries around the world to provide materials needed, regardless of format; print and electronic being the most common. Questions?  is the preferred service for requesting books from other libraries. E-ZBorrow items are not renewable. Connect to E-ZBorrow by logging in using a Banner ID. Requests are placed directly in the EZ Borrow catalog. Allow at least five business days for delivery.

 is the system used for requesting articles, books, and DVDs not available through E-ZBorrow. Requested items may arrive in as few as 5 or to up to 14 business days. Article requests are limited to 10 items per person, per week. Each item requires a separate request. Books and DVD requests are limited to four.

First-time users must complete an ILLiad registration form. Once submitted, personal information will be filed and pre-populated for all requests. The username and password are the same as the Rowan e-mail account issued.

To renew an item through ILLiad, login to ILLiad account. Select ‘Checked out Items’ under the ‘View’ menu for a list of currently charged items. Select ‘Request Renewal.’ Items are renewed before their original due date; if after due date; call ILL at (856) 256-4803.

A notification is sent via email once a requested item or article is available for pick up.

ILLiad forms can be completed by:

  • using the Get It button in most Rowan University Libraries databases (for articles)
  • via WorldCat (for other print materials and multimedia items)
  • directly on the ILLiad site (

Enter as much information known about the item, including ISBNs and ISSNs. The more information provided, the more likely it is the exact item is received.

Remember:  ILLiad requests are not filled when Rowan University owns the item, or if there is electronic access to the material.

Lending Policies
ILL items must be picked up at the Campbell Library circulation desk within five days of notice of receipt. Observe due dates on labels. Items must be returned to the Circulation Desk on or before the due date with the label attached; request renewals before the due date. Renewal of loaned items is at the discretion of the lending library. To request an extension call ILL @ (856) 256-4803. Disregard of due dates may result in suspension of interlibrary loan borrowing privileges. Interlibrary loan items must be returned to the Campbell Library Circulation desk. Do not place in book drops. Do not return photocopied or printed items.

Helpful Information

  • First-time user completes the ILLiad registration form. Personal information is filed  securely. Subsequent request forms will pre-populate. Complete a new form for each new item.
  • Lending libraries determine loan periods and restrictions on borrowed materials.
  • Materials borrowed from other libraries must be picked up at the Campbell Library circulation desk within five days of receipt.
  • Please note due dates on book straps, and return all forms with borrowed materials. Request renewals before due dates, as renewals of loaned materials, are strictly at the discretion of lending libraries. Disregard of due dates may result in suspension of interlibrary borrowing privileges at Rowan University libraries, and a bill for the replacement of each item. Do not use campus mail or library book drops to return interlibrary loan materials.


Faculty, staff, and graduate students from New Jersey institutions in good standing at their home library qualify for onsite borrowing privileges at other participating New Jersey libraries. Visit for instructions.

The "VALE Reciprocal Borrowing Application Form" must be signed and approved by the host institution (Access Services Librarian, in the case of Rowan University). Please note that Rowan University limits off-campus database access to users with active Rowan network accounts. All others may use online databases in the Campbell Library (See “General Public Access” section for details).

Tri-State College Library Cooperative (TCLC)
Rowan University students, faculty, and staff may use the libraries of the Tri-State College Cooperative (TCLC). Go to and download the "Letter of Introduction." The Access Services librarian will verify the status and complete the required section of the form. Students/affiliates from TCLC Member Institutions may borrow books from Campbell Library and music scores from the Wilson Music Library.
